Through this section, it is possible to determine the stakeholder information and communications needs and how they will be performed. The way to configure communication is similar for projects and programs, the description will be made in this section only. To configure the communication, the following sections are available:
Through this section, it is possible to configure the communication plan so that the sharing of information is performed successfully. To do that, the following subsections are available:
Team
Allows defining how the communication plan team will be composed. To do that, click on the button and fill out the following fields on the screen that will open:

Select the user that will make up the communication plan team. Use the other buttons on the side of the field to fill it out with the logged user data or clear it.

Project role
|
Select the role that the previously selected user will exercise in the project/program. Use the other buttons next to the field to view the role data in the selected project or clear the field.

Save the record. Repeat the procedure described before to add all the desired members of the communication plan team.
Matrix
Allows defining how it will take place and who will be responsible for transferring the information, as well as to whom this information will be passed on. Thus, the screen is displayed in two lists of records.
In the upper records list, click on the button on the side toolbar and fill out the following fields of the screen that will open:

Select the item (occurrence) that will be communicated. Use the other buttons next to the field to add a new communication item, edit the selected communication item, or clear the field.

Controlled frequency
|
Keep this option checked to control the frequency in which the item communication will occur. After that, enter the number of days, weeks or months with which the frequency range will be given and also make a brief description of the frequency set. If this option is unchecked, it will be required to describe how the communication frequency will occur.

Responsible
|
Select the plan team member who will be responsible for communicating the previously selected item.

Communication channel
|
Select the communication channel that will be used to exchange project/program information among people. Use the other buttons next to the field to add a new communication channel, edit the selected communication channel, or clear the field.

Description (tab)
|
Enter relevant information about the communication that will be made.
|
Comments (tab)
|
Enter the necessary comments about the communication that will be made.
|
Receivers
|
It will be possible to add who will be notified. To do that, click on the side toolbar button and on the screen that will open select the plan team members that will be notified.

After filling in the necessary fields, save the record. Repeat the procedure described before to add all the communications estimated in the plan.

This section displays the task emails sent to the parties involved in the project/program. Click on the button to view the details of the e-mail selected in the list of records.

In this section, it is possible to view, schedule, and record meetings for the request in question. For this feature to work correctly, it is necessary for SE Meeting to be part of the solutions acquired by your organization. On the side toolbar, the following buttons are available:

Click on this button and select the desired option:
▪Scheduling: Allows you to schedule a meeting related to the project. ▪Minutes: Allows you to record a meeting that has already happened related to the project. |

Click on this button to edit the data of the meeting selected in the list of records.

Click on this button to view the data of the meeting selected in the list of records in "Read-only" mode.
