Importing actions to the plan

SE Action Plan allows importing new actions or editing existing actions in the structure of an action plan.

 

Obtain the template spreadsheet

 

To do that, select an action plan on the main screen list of records and click on the export toolbar button. The spreadsheet can also be obtained through the Export option on the action plan data screen. At this point, an .xls file will be downloaded.

 

Configure the spreadsheet with the values you wish to import

 

Open the .xls file and fill out the available columns as desired:

Action plan

Enter the ID # of the plan to which the action must be imported. It is possible to import actions to different plans in the same spreadsheet.

Predecessor

Fill out this cell with the ID # of the predecessor action of the action being imported.

Actual %

This cell must only be completed if the action is under execution and the action plan is under tracking. In this case, enter the actual percentage of the action up to that point. If this cell is completed while the plan is under planning, the value entered in it will not be considered. Note that it will only be possible to import actions with "Planned" execution type. "Immediate" actions will not be imported.

What?

Category

Fill out this cell to define a category to classify the action. In this case, enter the ID # of the desired category.

If in the action plan category the "Categories allowed to be used in action plan actions" is filled out, the ID #s that may be entered will be restricted to the established categories. Note that, when classifying an action in a category, the configurations set for attributes, verification etc. will be applied.

The completion of some cells described below may be required according to the settings made on the Rule tab of the selected category.

ID #

In the case of a new action, enter a number or code for it that has yet to be recorded in the system. In the case of editing an existing action, enter its ID #.

Title

Fill out this cell with the name of the action.

Who?

Login

Enter the login of the user who will be responsible for executing the action.

Name

Enter the name of the user who will be responsible for executing the action.

When?

Start

Enter the planned date for the start of the action execution.

Time

Enter the planned time for the start of the action execution.

End

Enter the planned date for the end of the action execution.

Time

Enter the planned time for the end of the action execution.

Duration

Enter the amount of days needed for the action execution.

How much?

Enter the planned cost for the action execution.

Actual

Start

Enter the date on which the action execution started.

Time

Enter the time on which the action execution started.

End

Enter the date on which the action execution ended.

Time

Enter the time on which the action execution ended.

How much?

Enter the (actual) cost generated with the action execution.

 

Where?

Enter the location where the action will be performed.

How?

Enter how the action will be performed.

Why?

Enter the reason why the action will be performed.

Result

This cell must only be completed if the action plan is under execution (tracking).

In this case, enter the result obtained with the action execution. If this cell is completed while the plan is under planning, the value entered in it will not be considered.

 

After performing all the necessary configurations, save the spreadsheet. It is important to point out the file can have any name, but its extension must be .xls.

 

Upload the spreadsheet

 

To import the spreadsheet, click on the import button on the main toolbar. The import can also be performed through the Import option on the action plan data screen.

On the screen that will be displayed, select, in the File (*.xls) field, the duly configured spreadsheet and click on the import button.

 

If there are already actions in the structure of the plan which the import will be performed into, they will be replaced by the actions saved in the .xls file.

If there are new actions in the spreadsheet and they are imported to a plan that already has actions, they will be added to the structure without deleting the existing actions.

 

When the system finishes the import process, an information report will be displayed. If there are any errors, check the displayed comment, perform the necessary adjustments to the spreadsheet and repeat the import.
