Task:

Draft, Review, Approval, and Release

Who receives it:

Participants displayed and/or defined in the article data screen, through the "Revision" section (Participant arrowrgray General). Since articles can be displayed in several languages, it is possible for the revision to have several drafters, so that each drafter is responsible for translating the content to each of the enabled languages.

When:

Draft: This is the first revision step. The drafter must view the data and the content of the article and arrange the necessary changes. This task is generated when a new article is created in the system, or when a revision is started through the article data (File arrowrgray Article).

Review, Approval, and Release: In the steps after the draft step, the changes made in the article by the revision drafter must be viewed. If a participant does not agree with some change made or still has comments to make about the revision, critiques may be entered and sent to the drafter. This step is generated when the previous step of the revision is finished, in the following order: Review arrowrgray Approval arrowrgray Release, if the respective participants are configured.

Purpose:

To allow the articles recorded in a certain knowledge base to be revised, keeping the history of all the changes made. The knowledge base must be configured with ISO9000 based revision.

 

How to execute this task:

Select the desired article in the list of pending records.

 

The content of the article can only be edited during the draft step.

If the revision is in the draft step, use the Change subsection, located in the Revision section of the article data screen, to enter the changes performed in the article. If the revision is in a step after the draft step, use this section to check the changes that were performed. If any corrections need to be performed, use the Critique subsection, located in the Revision section of the article data screen.

 

If there are any checklists associated with the participant responsible for executing the step of the revision in progress, it will be necessary to answer the checklist to be able to execute the revision. This checklist aims to assist the party responsible for executing the revision in question. In order to answer the checklist questions, select one of the answer options displayed to each question (Yes, No or N/A). The answers may have already been filled in by the system with a default option, defined when creating the checklist. In addition, the completion of the Comments may be mandatory if this has been configured in the checklist.

To execute the revision, use one of the following available actions (according to the revision step) displayed in the article data screen:

Accept revision: Use this option to execute the revision and send it to the next revision step. If the closure step has been configured in the knowledge base, after accepting the revision, it will be sent to the closure step; otherwise, the revision will be automatically closed.

Send back to draft step: Use this option to return the revision to the draft step. This option is displayed only in the review, approval or release steps.

Delete revision: Use this option to delete the revision. This option is only not displayed in the closure step, if it has been configured.
