Overview:

In SE Document, in addition to the standard revision flow (called ISO9000 based), it is allowed to instantiate a process (workflow) to proceed in the revision flow. When creating documents in a category that has a configured revision, the system will automatically create the revision during the registration. Whenever necessary, users with the "Revision" control enabled in the document security list will be able to create new revisions and follow their progress. Through this menu, will only be created new revisions for documents already created and released. In the first quadrant, the search filters, which allow you to find the desired controls more easily, are displayed. In the second quadrant, the registered documents with revision control configured in their category are displayed, while in the third quadrant the revisions through which the document selected in the second quadrant has already gone through or is currently going through are displayed.

 

Specific buttons:

Click on the arrow placed next to this button and select the desired option:

Add: Allows to add a new revision. See more details about how to perform this operation in the Revising documents section.

Import XLS: Allows to import a revision/document batch directly from an Excel spreadsheet. On the screen that will be opened, select, in the respective field, the spreadsheet with the information that must be imported and save the selection. See how to configure the spreadsheet to successfully perform this operation in the Configuring spreadsheets for document import section.

Click on the arrow placed next to this button and select the desired option:

Revision: Allows to edit the revision data of the document selected in the list of records.

Document: Allows to edit the data of the document selected in the list of records.

Click on this button to delete a revision of the document selected in the list of records of the third quadrant. It is important to point out that the user will not be able to delete current revisions, but only those that are obsolete or are in progress, as far as this is not the only document revision.

Click on this button to view the electronic file selected in the list of records. See more information about this operation in the Accessing the content of electronic files section.

Click on this button to view the data screen of the document selected in the list of records of the second quadrant.

Click on the arrow located next to this button to configure and issue the revision data reports. This button also allows exporting the list of records displayed on the main screen to an Excel file, configuring a new report or associating an existing report, and it also searches for the parameters that may be used in the configuration of new reports.

Click on this button to download the electronic file of the document selected in the list of records. To successfully perform this operation, it is necessary to have the "Save locally" control enabled in the security of the document being revised.

If the "Enable documents in the draft step to be downloaded/uploaded" option is not checked in the Revision tab of the general parameters, this button will be displayed disabled in the respective revision step.

If the type of file configured in the category of the selected document is "Complex", by clicking on this button, the container folder structure will also be exported.

If the electronic file was converted to PDF, the original file will be downloaded if the "Allow original file download in the view mode" is checked or if the logged user has the "Edit" control enabled. If the parameter is not checked and the user does not have this permission, the PDF file will be downloaded.

By default, the system does not download files simultaneously when the sum of their sizes is higher than 4GB.

Click on this button to force revision closure, without having to go through the configured steps. if the "Disable creation of released documents in the system" option is checked in the Control Revision tab, of the document category being revised, this button will also not be enabled for use.

Click on this button to unblock an electronic file that has been blocked for editing during the revision execution. Notice that the document will be available for editing, after clicking on the button. If one user opens the electronic file and another user edits it, some changes which one of the users made, may be lost.

Click on this button to compare the current revision of a document to its prior revision, or to compare two specific revisions performed in one document. See further details on this operation in the Comparing revisions section.

 

Use the "Search filters" to easily retrieve the desired records based on specific information. See in the View Revision menu, a detailed description of the filters.
