Managing survey response

After enabling the survey for the respondents, it is possible to track the progress of the answers. To do that, first locate it and select it in the main screen list of records. After that, click on the edit button on the toolbar.

 

At this point, the data screen will be opened. It is displayed divided in two tabs:

 

On the Main tab:

The data filled out when creating the survey will be displayed, and it will be possible to edit some information. See below how to track the answers and generate the survey link.

 

1.In the Answer section, track and manage the progress of the survey answers. Use the search filters to easily locate the desired respondents through specific information.

2.According to the values entered in the filters, the result will be displayed in the list of records. In it, the statuses in which the answers are found (start, execution, correction or closed), the respondents, their e-mail addresses, the answer execution start and end dates, the duration of the answers process and the respondent score will be displayed.

3.The following columns are also available:

AS: Allows viewing the status of the survey response (start, execution, correction or closed).

L: Click on the icon displayed in this column to access the link of the survey of the respondent selected in the list of records, for it to be sent to him/her or used in a document, for example. For this resource to work correctly, public domain must be properly configured in the general parameters. If the logged user belongs to the responsible team for completing the survey, in the screen accessed through this column, the Open URL button will be displayed, allowing you to enter the answers of the selected respondent. When the respondent finishes answering the survey, the link will no longer be available.

I: If for some reason the survey is not completely answered (be it because the respondent gave up or because the answering step was closed through this section), it will be possible to view that reason. Click on the displayed icon to view the entered reason.

N: Allows viewing the status of the sending of the notification e-mail for the respondent. In case of error when sending the notification, click on the displayed icon and, on the screen that will open, it will be possible to view the date and time when the error occurred and the generated log.

Respondent: Displays the data of the respondent. If the respondent is an SE Suite user, click on their name to view general information on them.

Start: Displays the start date for the survey response.

End: Displays the end date for the survey response.

Duration: Displays the duration of the response process.

Score: Displays the score obtained by the respondent in the survey. This column only has a real application if the survey mode is "Test".

3.Click on the new button on the toolbar to add a respondent to the survey.

4.Click on the send_by_mail button if you wish to resend the survey execution notification email to the respondents selected in the list of records or to the respondents who still have not answered the survey.

5.Click on the next button to send the survey response of the respondent selected in the list of records. On the screen that will open, enter the reason for which the answer is being closed.

6.On the Generate survey link1 section, it is possible to automatically generate a URL to send the survey link to the external respondents. The screen that will be opened will display the generated URL. To copy it, use the respective button in the lower part. To enter the answers of an external respondent, the Open URL button will be displayed.

Note: When a user or a member of the responsible team for completing fills out the survey through the link generated by this option, they will be considered an anonymous respondent.

 

On the Result tab:

Through this tab, it is possible to analyze the answers of the survey through the following options:

 

Search: Use this option to analyze certain survey questions separately.

1.On the Question filter of the search filter panel, click on Add question.

2.On the panel that will be displayed, select the question associated with the survey, the operator, and the answer you wish to analyze.

3.To add more than one attribute to this search, use the Add question option at the bottom of the panel and repeat the procedure described previously.

4.After adding the desired questions, click on the Apply button.

5.The right side of the screen will display the choice percentage of the answers and questions selected in the filter. Use the fields in the Respondents filter to restrict the search even further.

 

Summary: Use this option to view the general information, answer choice percentage and other information related to the survey. If the survey mode is "Survey" and the "Allow score" option is enabled on it, it will also be possible to view the survey score.

 

Reports: Click on the arrow located below this option and select the corresponding option to generate an evaluation result report, configure new reports and even view the parameters that may be used to configure new reports.
