Task:

Training registration

Who receives it:

Members of the responsible team defined in the general parameters of SE Training.

Members of the organizational unit control team (SE Administration), which are also members of the responsible team in the general parameters of SE Training, if the "Restrict training record by organizational unit" option is checked.

When:

The status of an employee regarding a course (TNA X employee matrix) is in one of the statuses defined in the general parameters.

Purpose:

Conduct the training of the employees in a course in which the employee needs to be trained.

 

How to execute this task:

Use the advanced search filters from the first quadrant to find the desired record more easily.

In the list of records in the second quadrant, the courses to which trainings must be created will be displayed. Select the desired course.

Columns that correspond to the statuses defined in the general parameters (reason for the need to record a training for pending courses) and the number of employees in that status will be displayed. Hover the mouse pointer over the status column icon to identify it. If you wish, click on the number of employees displayed in the column with the desired training necessity status.

 

On the toolbar of the second quadrant, the following buttons are also available:

Click on this button to view the data screen of the course selected from the list of records.

report_config

Click on the arrow next to this button to export the list of records displayed on the main screen to an Excel file, configure a new report or associate an existing report, or search for the parameters that may be used in the configuration of new reports.

In the list of records of the third quadrant, the users in the status selected in the second quadrant are displayed. Select the desired users. Hold the CTRL and SHIFT keys down or check next to each user to select more than a record at a time.

1_auxnmbNext, click on the default button on the third quadrant side toolbar and select the desired option:

Add training planning: The system will display the screen to add a training in the planning step for the selected users. Refer to the Adding a training section for a detailed description on how to perform this operation.

Add training execution: The data screen to add a training directly in the execution step for the selected users will be displayed. Refer to the Adding a training section for a detailed description on how to perform this operation.

Associate to opened training: On the screen that will be displayed, locate and select the training with which you wish to associate the selected users.

Profile course: This option will not be available if more than one user is selected. This option must be used if the course was performed by the employee outside of the organization or if it was no controlled through SE Training. On the screen that will open, select the educational entity that has given the course, enter the training method, the period in which it was performed, the workload, the date until which it is valid (if applicable), the grade obtained and the attendance of the employee in the course. Record also comments on the course, attach files related to it and associate related competences and evaluation items.

After saving the record of the option selected previously, the users and the course will no longer be displayed in the list of pending records.

 

Recording trainings related to documents must be performed through the Training registration task.

When the training is invalidated, cancelled, or the participant is not approved, this task is generated again for the planning or execution team to become aware of the fact that the user needs a new training. Also remember that, if the user has already participated in the training in question, has been approved, and the training has not been invalidated or cancelled, the last conducted training will be taken into consideration.
