To create a revision for a scorecard, locate it and select it in the list of records of the second quadrant of the main screen. After that, click on the button on the toolbar.
At this point, the system will ask whether you wish to create a new revision. Click on OK.
In order to be able to create a revision for the scorecard, it is necessary to meet the following conditions:
▪The logged user must have the "Revise" control enabled in the security of the scorecard on the data screen of its type. ▪The latest revision of the Scorecard must be finished. |
At this point, the scorecard data screen will be displayed. Access the Revision section, in which the following subsections will be available according to the revision process configured in the scorecard type:

Fill out this field to enter a reason to open the revision. In this case, select the desired reason. Use the other buttons next to the field to add a new reason for the revision and clear the field.

Revision
|
This field will only be available if the revision process defined in the scorecard type is "ISO 9000 based".
If the revision ID # has been defined to be Numeric or Text, this field will be filled out by the system with the number/letter that corresponds to the current revision of the scorecard. If it is Customized, enter the ID # for the revision.

Process
|
This field will only be available if the revision process defined in the scorecard type is "Workflow". Displays the instance of the process that is under execution in SE Workflow.
Click on the button to view the progress of the process execution in the flowchart. To view the process data, click on the button.
Refer to the Revision process configuration section for further details about configuring a revision process.

▪ISO9000 based: Displays the name of the revision step the scorecard is in. ▪Workflow: Displays the name of the status associated with the activity of the process being executed. |
Date
|
If this field is kept blank, it will be filled out by the system with the date when the revision was Closed.
If this field is filled out, the system will consider the date entered as the revision validity date and it will not be able to close it until the date in question. In this case, the scorecard will remain pending in the Closure step.

Cycle

Displays the revision cycle number, according to the revision process:
▪ISO9000 based: Whenever a participant rejects the scorecard revision, the system increases the number in this field by one. ▪Workflow: Whenever the activity that is configured to start a new cycle is enabled for the responsible user, the system increments a number in this field. |

Enter the scheduled dates to start and end the revision.

Actual

Displays the start date (date on which the draft step was performed) and the end date (closure date of the revision).

Responsible
|
Displays the user and date in which the creation of the revision was performed and with the user and date in which was held the release of the revision, that is, when it was executed its closure.
If the closure is automatic, the name of the user who performed the last revision step will be informed.

Use the available field to describe the scorecard revision.

Explanation
|
Use the available field to enter an explanation for the scorecard revision. It will be mandatory to fill out this field if the "Require explanation to be filled out when revision is started" option is checked in the revision control configuration.

This section will only be displayed if the revision process defined in the scorecard type is "ISO 9000 based". The completion of the information will depend on the selected route type. If the route is:
▪Fixed & unique: This section may not be edited. ▪Fixed: Participants can only be selected through the "Import route" button in the listing at the bottom part of this section. ▪Variable: Participants may be selected through a route or through the buttons in the bottom part of this section.
Regardless of the route type, it will not be possible to add, edit, or remove participants from those steps that have already been executed.

Displays the number of the revision cycle. If so, select the previous cycles to view the members of the responsible route who performed the previous revisions of the scorecard.

Status

Displays the "Under revision" status while the revision is still in progress. After the revision is released, displays the "Finished" status.

Start

Displays the data on which the revision was created.
|
End
|
Displays the closure date of the revision.
|
Closure
|
Displays the data of the user who finished the revision. If the closure is automatic, the name of the user who executed the last configured revision step will be informed.

In the listing at the bottom part, it is possible to view/establish the participants of the revision route of the document, according to the definitions of its type. If the configured route type is Variable and a revision route is entered, the participants will be displayed in the listing. In case a revision route has not been entered, it is possible to configure the desired participants. To do that, use the side toolbar buttons:

Click on this button to add a participant in the scorecard revision. View the Configuring a revision route section to obtain a detailed description of how to add a new participant. If the participant is being added to a route associated with the revision, this addition will only be valid for the revision of the scorecard, not being replicated to the route record made through the Configuration Revision Route menu.

Click on this button to change the sequence, deadline, or checklist of the participant.
|
|
Click on this button to view the responsibility flow of the revision route.
|
|
Click on this button to remove the selected participant. It will not be possible to remove those participants who have already received the revision execution task.
|
|
Click on this button to import the participant flow from another revision route already created in SE Performance. On the screen that will be opened, locate and select the desired route and save the selection.
|
|
This section will only be available for editing if the revision process defined in the scorecard type is "ISO 9000 based". Use it to enter the changes that were performed in the scorecard. They may be added both by the user creating the revision and by the drafters through the draft step in the Scorecard revision task.
On the side toolbar, the following buttons are available:

Click on this button to add a change. On the screen that will be opened, enter the location and the change that was made.

Click on this button to edit the change selected in the list of records.
|

Click on this button to delete the change selected in the list of records.
|

Click on this button to view the data of the change selected in the list of records.

This section will only be available for editing if the revision process defined in the scorecard type is "ISO 9000 based" and according to the current revision step:
▪Review, Approval, Release or Closure: The executor of the revision may add critiques concerning the revision. To do this, click on the button and, in the Critique tab of the screen that will be opened, fill out the desired critique. ▪Draft: In the second cycle or later, the drafter should inform in this tab the solutions for each critique entered. To do this, click on the button and, in the Critique tab of the screen that will be opened, fill out the desired solution.

This section will only be displayed if the revision process defined in the scorecard type is "ISO 9000 based" and if the user who is accessing the screen is also the user responsible for the execution of the current revision step.
The list of questions allows assisting the responsible party in the execution of the revision step. In order to answer them, select the desired option: Yes, No or N/A. The answers may have already been selected by the system according to the standard defined when recording the checklist. Moreover, filling in the Comments fields may be mandatory or not, also according to the configurations established when creating the checklist.

Save the record after filling in the necessary fields. At this point, the revision will be sent to the due responsible parties for them to execute the configured steps. If the creator of the revision is also the drafter, the options to execute the step will be displayed in the data screen toolbar. Refer to the Scorecard revision section for further details on how to perform this operation.
