Overview:

It is possible at this menu item to view all service records in the system, regardless of the type (view, copy or loan), if their origins are requests or the status they are in.

 

Specific buttons:

view

Click on this button to view the record data of the physical record service selected in the list of records.

bi

Click on this button to load SE Analytics, so that the result obtained in the query can be analyzed.

report_config

Click on the arrow next to this button to configure and issue the desired physical record data reports. This button also allows exporting the list of records displayed on the main screen to an Excel file, configuring a new report or associating an existing report, or searching for the parameters that may be used in the configuration of new reports.

 

Use the filters described below to locate the desired records through specific information. To use them, go to the Search field panel and click on the addfilter button to add filters.

 

▪Use the Quick search field of the Search field panel, to search for the desired document by means of words contained in the title, description and/or content of each electronic file.

Request types: Select the request type (View, Loan or Copy) regarding the service record you wish to view.

ID #: Enter a range of sequential numbers that cover the ID # of the service record you wish to view.

Reason: Select the reason that was associated with the service record you wish to view.

Status: Click on the button placed next to the field and, on the screen that will be displayed, check the possible status (issue, approval, approved and rejected) of the service request you wish to view. To select more than one record at a time, use the SHIFT or CTRL key, or also the checkbox next to each record. After that, save the record.

Department: Select the department to which the requester of the service whose record you wish to view belongs. Use the other buttons on the side of the field to fill it with the logged user department or clear it.

Description: Enter the description/question made by service requester, of the record you wish to view.

Explanation: Enter the explanation given by the approver of service request which record you wish to view.

Requester: Select the user who issued the request of service whose record you wish to view. Use the other buttons on the side of the field to fill it with the logged user data or clear it.

Approver: Select the user who approved the request of service whose record you wish to view.

Executor: Select the user who executed the request of service whose record you wish to view.

Date: In the Last __ day(s) field, enter the number of days prior to the current date that covers the date in which the service record you wish to view was performed, or use the Start and End fields to select the date range that covers the date in which the service record you wish to view was performed.

Use the fields in this filter to find the desired service request record through the document related to it. To do that, select the category, to which the document belongs to or enter its ID # and/or title/summary. Check the Display lower level records option, so that the categories that are below the selected category in the hierarchy are also considered in the view.

 

After you complete the necessary filters, click on the SEARCH button on the Search filters panel or press ENTER on the keyboard to perform the search. The system will list the result to the right of the view screen.
