Configuring a copy station

The purpose of the copy station is to control the distribution of the documents in the company, to prevent obsolete versions from being used and guaranteeing access to current versions to those who need it. The copy stations must be created through this menu which will later be associated with the copy protocols, at the time of the distribution of the documents registered in the system. For better organization, copy stations are displayed on a hierarchical structure.

 

See how to configure a copy station:

 

1.Access the Configuration Copy distribution Copy station menu.

 

2.Click on the button on the main screen toolbar. To edit the data of a station, select it in the main screen hierarchy and click on the button.

 

 

3.On the screen that will be opened, enter an ID # and a name for the copy station.

 

4.Fill out the fields in the General tab:

Upper level copy station: Fill out this field for the station to be hierarchically added below another station. In this case, select the desired copy station. If a copy station is selected in the main screen hierarchy, this field will be filled out by the system, but it is possible to edit it.
Path: Displays the records that are upper levels in the hierarchy up to the copy station. For example: Copy Station I. Archive room I.

Team responsible for sending: Select the team that will be responsible for sending the printed copies. Use the other buttons next to the field to add a new team and define it as the responsible for sending, and clear it.

Responsible for receiving (default): Select the user who will be default responsible user for receiving the printed copies. Use the other buttons next to the field to add a new user and define them as responsible for receiving, and clear it. The selected user can be edited, after the other responsible users are associated in the "Responsible" tab.

 

5.Save the record. At this point, the Responsible tab will be enabled to be configured.

 

6.In the Responsible tab, the user can define other responsible users for the copy station being configured. The users that are associated in this tab will be available for selection in the "Responsible for receiving (default)" field of the General tab. On the side toolbar, the following buttons are available:

Click on this button to add a responsible party for the copy station. On the screen that will be opened, locate and select the other users that will be responsible for the copy station and save the selection.

Click on this button to disassociate the responsible party selected in the list of records of the copy station.

 

7.Save the record after performing the necessary configurations.
