Task:

Original document loan collection
|
Who is notified:
|
Responsible for repository loaned documents belong to. Responsible users are those users who belong to the same department where the storage place of repository is and that have Archive permission granted in the document security (SE Document).

When:
|
A loaned document is forwarded to the user who requested it.
|
Purpose:
|
Track document return deadline and register the return.
|
How to execute this task:
1.

In the list of pending records, locate and select the document that has been returned. Use the CTRL and SHIFT keys on the keyboard or check next to each record to select more than one document at a time.
|

After that, click on the  button on the toolbar.
|

At this point, the collection data screen will be opened. The Date field will be filled in by the system with the date in which the return is being recorded; however, it is possible to edit it. In that case, enter the date when the return was performed.

Use the available field to enter important information about the return of the document.

Documents

This tab displays the previously selected documents whose return is being recorded. To associate other documents that are being collected, use the Barcode field. Use the buttons on the side toolbar to view the data, disassociate and view the electronic file of the selected document. The detailed description of this tab is found in the "Barcode reading" below.

Save the record after filling out the fields. At this point, the loan record will be closed and the document will no longer be displayed in the Loaned document receiving task.

Click on the button on main screen toolbar  .

Use this field to add the returned documents to the list of records located at the bottom of the screen and associate them with the record. To do that, use the barcode reader configured in your station. In this case, enter the ID # or barcode of the desired document and click on the "Add" button next to the field. The collected documents must be pending in this task for the return. Otherwise, it will not be possible to associate them with the record.

The listing will display the data of the documents associated with the record. On the side toolbar, the following buttons are available:

Click on this button to view the data screen of the document selected in the list of records. View specific documentation of the SE Document component for further details on the data screen of a document.

Click on this button to disassociate the selected document from the return list.
|
|
Click on this button to view the electronic file of the document selected in the list of records.
|

Save the record after filling out the fields. At this point, the loan record will be closed and the document will no longer be displayed in the Loaned document receiving task.
