Editing calibration activity data |
See in this section how to edit the data of a calibration activity. Some information can only be edited if the activity is in planning or execution; however, each status will be identified in the description.
General dataGeneral data about the calibration activity should be entered in this subsection. It is important to remember that some fields are only enabled when the activity is in some particular step. See below how and when fields can be filled out:
Certificate: This field will display the calibration activity ID #. This field will automatically be filled by the system with a sequential number or with an identification mask if the feature has been configured in the calibration plan standard activity. This field may be disabled if the mask feature is configured to not allow the ID # to be edited. Plan: This field displays the calibration plan, whose activity is being programmed. Frequency: This field displays the frequency defined in the calibration plan. Activity: This field displays the activity that was associated with the asset calibration plan. Asset(s): Below this field, the system displays the assets that will be calibrated by performing the calibration activity.
PlanningInformation regarding the planning of the calibration activity is displayed in this section. The fields that are shown vary according to the step in which the activity is (planning or execution): Planning step: ▪Start: Enter the start date and time of the calibration programming. ▪End: Enter the end date and time of the calibration programming. The Duration field will be calculated automatically by the system. ▪Responsible team: This field will be filled with the team defined for the activity schedule. This field will be filled with the team defined as responsible for the planning in the calibration plan (when the plan was created with the option to copy the data from the standard activity) or in the associated standard activity data in the plan (when the plan was created with the option of inheriting the data from the standard activity). Execution step: If the activity is in the execution step (to be started or under execution), the planning information will be read-only, since the fields are disabled.
ExecutionThis section presents information regarding the execution of the calibration activity. The fields that are shown vary according to the step in which the activity is (planning or execution): ▪Planning step: Information regarding the execution of the calibration activity will be disabled. However, it will be possible to change the Team responsible for executing the calibration. To define a specific executor, enable this option by clicking on the button next to the Executor field and then select the user who will execute the calibration. ▪Execution step: If the activity is in the execution step (to be started or under execution), the fields referring to this section will be available for completion. Thus, enter the calibration start data, in addition to the calibration percentage already completed. The system only considers activities as started when this field is filled with a value greater than 1. To keep the activity running, a value between 1 and 99 must be entered. If this field is completed with 100%, the activity execution will be finished. Responsible technician: The completion of the fields in this section will be mandatory in the calibration activity execution step. ▪Service center: Select the service center responsible for calibrating the assets of this activity. ▪Responsible technician: Select the technician responsible for calibrating the assets of this activity. Only the technicians of the service center selected before will be available for selection. Description: In the planning step, it is possible to enter a description about the calibration activity, while in the activity execution step, the description can only be viewed. This field has the rich text editor, which allows highlighting the important points that may help the user during the activity. The feature lets you format text (set or change font type, size, and color, apply bold, italic, and underline), format paragraphs, insert tables, links, and images. Priority: Fill out this field to define the priority of the calibration activity. In that case, select the desired evaluation method in the respective field. After that, the evaluation criteria will be displayed. Select the desired value for each criterion that will be displayed. The method to enter the available values and criteria will vary according to the configurations made in the selected evaluation method in the SE Asset component. The Result field will be filled out according to the values selected in the evaluation method criteria.
AttributeThis section is only displayed if the standard activity associated with the calibration plan has attributes associated. It presents the attributes of the calibration plan.
ActivityGeneral information about the calibration activity is available in this subsection. Fill in the following fields: Activity classification: Select the activity classification in question. Procedure: Select the procedure to follow during the activity execution. If there is integration with SE Document, the records from this system will be displayed. Otherwise, the records made in SE Asset will be displayed. Place: Enter the location where the calibration activity will be executed. Responsibility route: Routes responsible for the approval of the programming and execution of the calibration activity. These routes were previously configured in the standard activity associated with the asset calibration plan. Description: Use this text field to make a necessary description of the calibration activity. Action taken: This field will be enabled for completion only in the execution step, so that the actions taken in the calibration are described.
CalibrationThis section will be enabled during the execution of the calibration activity being programmed. During the execution of the calibration, execution-related data, as well as the standards to be used during the measurements, besides the measurements themselves, must be entered. Refer to the Calibrating an asset section for more details on how to calibrate an asset.
ApprovalThis section will only be displayed if the calibration plan standard activity has the approval step configured. This section displays information regarding the Planning and Execution approval step for the calibration activity. Select the desired sub-section and fill in the fields, as needed. Responsibility route: Responsibility route that will approve the planning/execution of the activity. Filling in this field depends on the route type associated in the standard activity: —Variable: For this type, it will be allowed to select any other responsibility route in the respective field, change its members or even associate new responsible parties. —Fixed: For this type, it will be allowed to select any other responsibility route in the respective field; however, its members CANNOT BE CHANGED. —Fixed & unique: For this type, no changes will be allowed. In that case, information about the responsibility route will be available ONLY FOR VIEW. Approval type: Select whether the approval will be circular or incremental. Cycle: This field indicates the approval cycle. Wait for all members approval: If this field is checked, it indicates that the record will only continue to the next step when all the route members release their activities.
ChecklistThis checklist aims to assist the party responsible for executing the calibration in question. To answer the checklist questions, select the desired option (Yes, No, or N/A) in the Answer column in the list of records itself. Answers may already be filled with a default option, defined during the checklist creation (SE Asset). Moreover, filling in the fields in the Comments column will be mandatory or not, according to the established configurations, also, when creating the checklist.
DocumentationIt is divided in the following subsections: Attachment Through this section, it is possible to add, delete, download and view the attachments related to the activity. For further details on how to add attachments to the record, see the Add attachments section.
Document This section is only available if the SE Document component is part of the solutions acquired by your organization. Use it to associate the documents related to the activity. Refer to the Add documents section for further details on how to add and/or associate documents from SE Document.
Safety data sheet This section is only available if the SE Document component is part of the solutions acquired by your organization. Use it to associate the security documents related to the activity. Safety data sheets form the main gage to make sure manufacturers and importers communicate enough information during the whole supply chain to allow a safe usage of their substances and mixtures. They contain information on the properties of the substance and its hazards, handling, disposal and transport instructions and measures for first aid, fire-fighting and exposure control. Refer to the Add documents section for further details on how to add and/or associate documents from SE Document.
HistoryIn this section, the system will display the execution history of the calibration activity in chronological order. In the activity history, it is possible to add comments, allowing greater control over the events in the calibration. To do this, click on the Comment button and on the screen that will be opened, enter the desired comment.
LinkIn this section, it is possible to link the corrective maintenance and programmed maintenance activities with the activity in question. To do this, use the following buttons in this section:
Variable reading This section is only displayed when the activity is in the calibration planning step. Use it to associate the variables that must be read when executing the activity. On the side toolbar, the following buttons are available:
Task In this section, the system displays the tasks that must be performed during the asset calibration. This section may be filled out with standard activity tasks, but it is possible to edit, remove, and add new tasks.
If necessary, use the button in the subsections to add new tasks. On the screen that opens, enter the Order (sequence), ID #, Name and the Responsible for the task. If it is required to edit any information in a task, select it, and then click on the button. On the screen that opens, edit the required information.
If the calibration is in planning, the fields referring to the scheduling of the tasks are available for completion. And, if the calibration is running, the fields related to what was done will be available. Therefore, enter the start/end date/time of the planning/execution of the task. Save the data and repeat this procedure for all tasks in the following subsections: ▪Preparation: These are the tasks that need to be executed to prepare the calibration. Example: Switching off the equipment; ▪Execution: These are the tasks of the calibration itself. Example: Part replacement; ▪Closure: These are tasks that must be performed in order for the asset operation to be restored. The closure task is usually reverse to the preparation task. Example: Equipment startup;
Extra costIn this section, enter the actual costs of the asset calibration. It may be filled out with the standard activity costs; however, it will be possible to edit, delete, as well as add new costs. This section may be filled with the standard activity costs; however, it will be possible to edit, delete, as well as add new costs. If the calibration is in planning, enter the Estimated cost for each cost. If the calibration is running, enter the Actual cost for each cost.
ResourcesDisplays the resources necessary for the execution of the calibration activity. It may be filled out with the resources of the standard activity and/or of the calibration plan; however, it is possible to edit, delete, as well as add new resources. The information to be entered in each of the following subsections will depend on the step in which the calibration is (planning or execution):
Technician: ▪Planning: If the calibration is in the planning step, it will be possible to define the service center and the technician responsible for executing it. ▪Execution: If the activity is under execution, in addition to adding a new technician, the system will allow entering their allocation, i.e., how many hours the technician used per day to execute the calibration. Through the buttons in this section, in addition to adding, editing or deleting a technician, it will also be possible to enter time. See more details about entering time in the Executing a calibration section.
Supply: ▪Planning: It will be possible to associate supplies and enter the Scheduled quantity of the supplies that can be used in the calibration. ▪Execution: In addition to associating new supplies, the system will allow entering the Actual quantity of the supplies that have been used to execute the calibration.
Tool: ▪Planning: It will be possible to associate tools and enter the Scheduled quantity of tools that can be used in the calibration. ▪Execution: In addition to associating new tools, the system will allow entering the Actual quantity of tools used to execute the calibration. Total: In this subsection, the system displays a summary of the resources programmed and used in the calibration activity.
Problems DefectIn this subsection, associate the defects of the assets of this calibration activity. To do that, click the button and, on the screen that will be opened, select the recorded defects. The defects available for selection are those recorded in the SE Asset component. Check the Apply to all assets option if the selected defect is the same for all the assets associated in the calibration activity, or then, check the Asset option and select the asset if the selected defect is happening only to one asset. Save the selection, if necessary, associate other defects of the calibration activity asset.
CauseIn this subsection, the causes of the defects in the assets of this calibration activity must be associated. To do so, click on the button and, on the screen that will be opened, fill out the following fields: Asset: Select one of the calibration activity assets. Defect: Select the defect that is occurring with the selected asset. The system will only display the defects associated in the previous step. Cause: Select the possible cause of the defect that is occurring in the asset. The causes available for selection are those recorded in the SE Asset component.
Downtime This section is only displayed when the activity is in the calibration execution step. In it, enter the asset downtime record. It will only be possible to enter the downtimes of an asset when the standard activity associated with the calibration plan is not configured with the control to interrupt the asset. Use the buttons in this section to add, edit, or delete the downtime records of the assets of this calibration:
AnalysisThis section is only displayed when the activity is in the calibration execution step. In it, it is possible to add the asset calibration analysis record through the analysis tools available in SE Suite: 5 Whys, FTA, and Ishikawa. You may create a new analysis or associate an already existing analysis. To do that, click the button and select the desired option.
AssociationsIn this section, it is possible to associate the calibration activity in question with isolated action records (SE Action Plan), incidents (SE Incident), action plans (SE Action plan), problems (SE Problem), workflows (SE Workflow) and requests (SE Request). See further details in the following subsections:
OccurrencesIn this subsection, record the occurrences that have made it necessary to calibrate the asset. Through this section, it will be possible to associate existing occurrences or add a new occurrence. To associate an existing occurrence, click on the button and on the screen that opens, select the occurrence type (Isolated action, Incident, Action plan, Problem or Workflow). Enter, in the search fields, the data to locate the desired occurrence. After running the search, select the desired record and save your selection. At this point, the occurrence will be associated with the calibration activity. To add a new occurrence, click on the button. At this point, the system will display the options of occurrences that can be recorded for the asset that will be calibrated through this activity: ▪Isolated action: Select this option to create an isolated action. Isolated actions are actions that do not belong to an action plan. To create isolated actions, the organization must have an active license in the SE Action plan component. ▪Incident: Select this option to add an incident that occurred and led to the asset calibration programming. In order to record incidents, it is necessary that the organization has an active license of the SE Incident and SE Process components. ▪Action plan: Select this option to create an action plan. To create action plans, the organization must have an active license in the SE Action plan component. ▪Problem: Select this option to add a problem that occurred and led to the asset calibration programming. To record problems, it is necessary for the organization to have an active license of the SE Problem and SE Process components. ▪Workflow: Select this option to instantiate a process related to the calibration of the asset. To instantiate processes, it is necessary that the organization has an active license of the SE Workflow and SE Process components.
RequestIn this subsection, the requests related to the calibration in question may be associated. In this section, the system allows associating the "Calibration record" that is in the approved step and was issued with: ▪The same standard activity and the same asset as of the calibration in question; or ▪The same standard activity and any asset, if the calibration in question has no asset. Use the following buttons to associate or disassociate the requests:
