Timesheet approval |
How to execute this task:
1.In the list of pending records, select the object whose timesheet will go through approval.
2.After that, click on the button on the toolbar.
3.At this point, the system will open the timesheet screen for approval. The ID # and Name fields will be filled in with the data of the selected object, while the Date field will be filled in with the date on which this operation is being performed and the Resource field with the resource name to which the hours were entered. In the Approved field, select the "Yes" option to approve or the "No" option to reject the timesheet:
4.In the General tab, the system will display the timesheet data that is going through approval.
5.The Attribute tab will only be displayed if on the type data screen of the object, a timesheet attribute is associated. It displays the attributes that complement the timesheet of the object in question. Enter the values of the displayed attributes. Those attributes that are required must necessarily, have their values filled in. The way to enter an attribute value varies according to the configurations set when creating it.

7.The Checklist will only be displayed if the responsible party for the approval is "Route" and if the responsibility route member executing the approval has a checklist associated. The objective of this checklist is to assist the responsible party in the approval or rejection of the timesheet. In order to answer the checklist questions, select the desired option: Yes, No or N/A. The answers may have already been selected by the system according to the standard defined when recording the checklist. Moreover, filling in the Comments fields may be mandatory or not, also according to the configurations established when creating the checklist.
8.Use the Comments tab, to enter important information regarding the approval of the timesheet. If the timesheet is rejected, filling in this tab will be mandatory. In that case, you must enter an explanation for rejecting it.
9.The Route tab will only be displayed if the responsible party for the approval is "Route" and if the "Edit the approval flow?" option is checked when defining the responsibility route member that is executing the approval. In it, it is possible to edit the flow of the members responsible for approving the timesheet. To do that, use the following buttons on the toolbar next to the list of records:
10.After filling in the fields above, save the record.
11.If the timesheet is rejected, the user who completed it will receive an email notification informing who rejected the timesheet, along with their comment. In that case, the user who entered the timesheet must access the timesheet screen again, make the necessary adjustments, and send the timesheet back to approval.
12.If the timesheet is approved, the hours entered will be considered in the Total of the timesheet screen, and the finances of the object will be updated. |
