Task:

Asset revision

Who receives it:

ISO9000 based:

Draft/Review/Approval/Release: Users defined as participants in the asset revision.

Closure: The user who created the revision if, in the "Revision publication" field of the revision data, the Manual option has been selected.

Workflow: Users defined as executors of the workflow activity.

When:

ISO9000 based:

Draft: When starting a new revision or when a participant rejects a revision step.

Review/Approval/Release: After the drafter releases its task. These steps are optional and those who are responsible for them will receive them exactly in this order.

Closure: After the execution of the last revision step, defined in the route.

Workflow: When a new revision starts and when in the process flow, the activity should be executed.

Purpose:

To control the changes and versions of the assets added in the system.

 

How to execute this task:

 

Below are described the steps to execute a revision based on the ISO9000 standard. Refer to the Revisions Executing revision section for a detailed description on how to perform a controlled revision by a workflow.

 

Executing the revision through the asset data screen

1.Select the desired asset from the list of pending records.

 

2.If the revision step is "Draft" or if the activity status allows editing the asset data, click on the button on the toolbar.

 

3.At this point, the asset data screen will be opened. Check if the configurations have been duly performed and make the necessary adjustments. See a detailed description of the asset data screen in the Editing asset data section.

 

4.Access the Revision section to release it. The following subsections may be available for editing:

Change

In this section, it is possible to enter the modifications that were made to the asset that is being revised.

Filling out this section will be mandatory in the revision draft step if the "Require changes from draft step to be filled out" option is checked in the Revision section of the asset type. However, if the asset is going through the first revision, even if the mentioned option has been checked, filling out the fields will not be required.

In the other steps configured for the revision, the changes entered will be available for viewing.

 

To add a change, click on the side toolbar button and fill in the following fields from the screen that will be opened:

Location: Enter the location of the asset in which the change was made.

Change: Describe the change made in the previously reported location.

 

Critique

Use this section to add and solve critiques according to the step the revision is in:

Review / Approval / Release / Closure: The executor of the revision may add critiques concerning the revision through the button. On the Critique tab of the screen that will be opened, the desired critique must be entered.

Draft (Second cycle or later): The drafter should inform in this tab the solutions for each critique entered through the button. On the Solution tab of the screen that will be opened, the solution for the critique must be entered.

If the "Require critiques to be viewed/solved in the draft step" option is checked in the Revision section of the general parameters, this procedure will be mandatory.

 

Checklist

This section will only be displayed if the participant of the revision has an associated checklist. The list of questions aims to assist the responsible party execute the revision step. In order to answer them, select the desired option: Yes, No or N/A. The answers may have already been selected by the system according to the standard defined when recording the checklist. Moreover, filling out the Comments fields may be mandatory or not, also according to the configurations established when creating the checklist.

 

This section will not be displayed in the revision Closure step.

 

5.After entering the necessary fields, use one of the following available actions (according to the revision step) displayed in the toolbar of the survey data screen:

Accept revision: Click on this option to indicate that the asset is in accordance and send the revision to the next step. In the Draft step, this is the only available option.

Reject revision: Click on this option to indicate that the asset needs to be improved and to send the revision back to the draft step. To do that, in the previously described section, enter the critiques that must be solved by the revision drafter. If during the revision configuration the approval has been configured as "Circular", the reviewers will not be able to send the revision to the draft step. If the approval has been configured as "Incremental", any revision participant will be able to return it to the draft step.

Delete revision: This option will only be displayed if the revision is not the first revision of the asset (cycle 1) or if the revision is in the "Closure" step (if it has been configured). Click on it to delete the revision.

If there is more than one participant with the same sequence, when executing a revision step, the parameterization defined during the revision configuration will be applied.

 

Executing the revision without accessing the asset data screen

1.Select the desired asset from the list of pending records.

 

2.After that, click on the toolbar button.

 

3.At this point, the screen for releasing the revision step will be opened. The ID # and Asset fields are filled out by the system with the respective information of the asset. Fill out the required and desired fields in the following tabs:

 

General

Revision release:

Accept revision: Select this option to indicate that the asset is compliant and send the revision to the next step. In the Draft step, this is the only available option.

Send back to draft step: Select this option to indicate that the asset needs to be improved and send the revision back to the draft step. Enter, in the following field, the critiques that must be solved by the revision drafter.

If during the revision configuration the approval has been configured as Circular, the reviewers will not be able to send the revision to the draft step. If the approval has been configured as Incremental, any revision participant will be able to return it to the draft step.

 

Critique: Use this tab to enter and resolve the necessary revision critiques. Therefore, the critiques may be added or dealt with according to the step on which the revision is:

Review / Approval / Release / Closure: The executor of the revision may add critiques concerning the revision through the button. On the Critique tab of the screen that will be opened, the desired critique must be entered.

Draft (Second cycle or later): The drafter should inform in this tab the solutions for each critique entered through the button. On the Solution tab of the screen that will be opened, the solution for the critique must be entered.

4.Click on the button after entering the necessary fields. At this point, the action specified in the "Revision release" field will be performed. If there is more than one participant with the same sequence, when executing a revision step, the parameterization defined during the revision configuration will be applied.
