Editing asset data

To edit the data of an asset, first locate it and select it in the main screen list of records.

 

After that, click on the toolbar button.

 

If the asset has revision control, the editing can only be performed by the drafter (ISO9000) or the activity executor with permission to edit, through the Asset revision task.

If the "Enable responsible team to change released assets that have revision control" general parameter is checked and the logged user belongs to the team responsible for the selected asset, which has revision control and the revision is released, the button will be available for usage. Otherwise, to edit the asset, it will be necessary to create a new revision.

If the asset has the Revision control configured in its type and it is not its first revision, to enable the fields described below for editing, it will be necessary to click on the Add new revision button on the toolbar.

 

On the asset data screen that will be opened, the following sections will be available:

 

General data

In this subsection, fields are available to enter general data about the asset. Therefore, fill out or edit the following fields:

Click to add an image: Allows adding an image to represent the asset. The file must be in .jpg, .jpeg, .png, .bmp or .gif format.

ID #: This field displays the asset ID #. This field may be disabled if the asset type in question is configured with the identification mask feature without the permission to change the ID #. 

Name: This field displays the name of the asset. If necessary, it is possible to edit it.

Revision: This field indicates the number of the current revision of the asset, and it is automatically filled in by the system.

Asset type: Type that classifies the asset in question. This field is automatically filled in by the system with the type selected when creating the asset.

Responsible team: Enter the team responsible for the asset. The team selected in this field, in addition to editing the asset data, may add downtime records, reserve the asset, as well as revise it when the revision control is enabled in the asset type in question.

Location: Click on the button to associate the location of the asset. This field will only be enabled after saving the asset data for the first time. The association of a location to the asset may also be performed through the "Execution Asset location" menu.

Condition: Click on the button to associate the asset condition. This field will only be enabled after saving the asset data for the first time. The association of a condition to the asset may also be performed though the "Execution Asset condition" menu.

Specification: Select which will be the specification of the asset in question: gage, equipment, tooling, tool, computer or others.

Operation started: Enter the start date of the asset operation.

Quantity: Enter the existing quantity of the asset in question. In the case of gages, this field will be filled automatically by the system with the number 1 (one). For other specifications, if the quantity is greater than 1 (one), the system will block the location, condition, history, plans, meter, and variable fields for the asset.

Available: Enter, from the existing quantity, the available quantity of the asset in question for operation.

Calendar: Select the calendar that will be used by the asset in question. Click on the button to create a new calendar. The calendars displayed in this field are created through the "Configuration Calendar" menu in the SE Administration component.

 

The Plans section, which will be displayed below the fields described so far, will present the verification, maintenance and/or calibration plans in which the asset in question has been associated. This section will not be presented for assets with a quantity greater than "1".

 

Details

Restrict access to view screens: Select this option so that, on the View assets screen, the record is available only for the selected Team.

Internal/Third-party: Select the Internal option if the asset is available only to the organization or the Third-party option if it is available to other organizations. In the second case, select the Company that will have access to the asset.

Manufacturer: Select the name of the company that manufactures the asset. Click on the button to add a new manufacturer.

Supplier: Select the name of the company that supplies the asset. Click on the button to add a new supplier.

Serial number: Enter the serial number of the asset, i.e., its identification number.

Model: Enter the model of the asset.

Warranty: Enter the following information about the asset warranty:

Warranty contract: This field will only be displayed if, in the General parameters, the Warranty contract field has been selected. Select the document related to the warranty contract of the asset. The system will display only those documents whose type is configured as "Contract". After selecting the document, the Validity field will automatically be filled with the validity date of the contract.

Purchase dt.: Enter the date on which the asset was purchased.

Warranty time validity: This field will only be displayed if, in the General parameters, the Warranty contract field has not been selected. Select, in this field, the warranty time validity of the asset.

Validity: This field will be automatically filled by the system after entering the Purchase dt. and the Warranty time validity or the validity of the document that was completed in the Warranty contract field.

Description: Enter the description of the asset.

Characteristics: Enter the characteristics of the asset.

Comments: Enter the comments about the asset.

Automated data input: Check this option to enable the equipment integration in SPC. When selecting this asset in SPC, the acquisition of the readings will be done automatically. To do that, enter the IP address of the machine (computer) to which the measurement gage is connected, entering also the Port used in the connection. Also, enter the amount of time that the system will wait until the Timeout occurs. Use the button to test the connection to the machine to which the measurement gage is connected.

 

Attributes

This section will only be displayed if at least one attribute is associated in the Attribute tab of the type that classifies the asset. In that case, enter the value of the displayed attributes. Those attributes that are required must necessarily, have their values filled in. The way to enter an attribute varies according to the configurations established when creating it.
