Creating an inventory

To add a new inventory, click on the button on the main toolbar.

 

On the screen that will be opened, the following sections will be available:

 

 

General data

ID #: Enter a number or code to identify the inventory.

Title: Enter a name for the inventory.

Deadline: Select the date until which the inventory must be executed.

Responsible team for execution: Select the team responsible for executing the inventory. The members of this team will receive the "Inventory execution" task.

Execution approval:

Enabled: The execution of the inventory will go through the approval step. To do that, select one of the following options to define the route type responsible for the approval:

Variable: The responsibility route may be selected/edited during the inventory execution, and its members may be edited.

Fixed: The route may be selected/edited during the inventory execution, but it will not be possible to edit its members.

Fixed & unique: It will not be possible to edit the route nor its members during inventory execution.

Fill out the Responsibility route field to preset the route that will be used for the approval of the execution of the inventory.

The completion of this field is mandatory if the route type is "Fixed & unique". If another route type option is selected and this field is filled out, the system will use the entered responsibility route, but it will be possible to edit it during inventory execution. Only the approval responsibility routes will be available for selection.

Use the other buttons next to the field to add a new responsibility route, edit the data of the selected route, and clear the field.

Disabled: The execution of the inventory will not go through the approval step.

Asset type: Allows restricting the assets that will be inventoried to certain types. To do that, locate and select the desired asset types. Check the "Consider sublevels" option for the subtypes of the type selected in the list of records to also be considered in the inventory. If this option is not checked, even if the asset type has subtypes, they will not be considered. Once done, save your selection.

As asset types are added, they will be displayed right below the field. To disassociate an asset type from the listing, hover the mouse over it and click on the "Remove" option. To remove all listed types, click on the "Clear" button next to the field.

Location: Allows defining the locations that have the assets to be inventoried. To do that, click on the button and select the desired location. Check the "Consider sublevels" option for the sublocations of the selected location to also be considered in the inventory. If this option is not checked, even if the location has sublocations, they will not be considered. Once done, click on the "Save" button. Note that, to successfully perform this operation, it is necessary for the selected location to have at least one asset associated.

 

Structure

This section displays the assets to be inventoried according to the location and asset type filled out in the General data section. It will only be available while the inventory is under planning.

The assets displayed will be structured according to the locations associated in this inventory. If there are asset types associated with the inventory, only the assets of the selected types that are associated in the storage places defined in this inventory will be displayed.

 

Save the record after performing the necessary configurations.

 

To send the inventory to the next configured step, click on the Execute button. At this point, the inventory data screen will be updated and it will proceed to the "To be started" status. At this point, the inventory will proceed to the Inventory execution step.

 

It is worth noting that it will only be possible to execute the inventory if there are assets to be inventoried, that is, if the intersection between storage place and asset type does not have any assets, it will not be possible to send the inventory to execution.
