Overview:

Through this menu, it is possible to obtain a problem management through an integrated vision, which allows greater control and details on the problems that are under the user's responsibility, besides allowing a monitoring of the activities on time, close to the due date and past due.

 

 

Summary

Through this vision, it will be possible to perform a problem management through an integrated vision, which presents grouped information. In this vision, the users are presented with a card for each process that is under their responsibility. In this card, it will be presented the number of instances that are in progress, also displaying how many of these are past due, on time or close to due date. The following buttons are available in each card:

Open activities: By clicking on this button, the card will be updated, displaying the number of instances in each problem activity. The color shown indicates the status of the process execution. When you click on an activity, the card will be updated again (drill-down), presenting those responsible for executing the selected task.

Responsible: By clicking on this button, the card will be updated, displaying the number of instances of each responsible party. The color shown indicates the status of the process execution.

 

In both, the open and responsible activities view, the following actions can be taken for each activity or responsible party displayed on the card:

▪Redefine deadline: When you click on this option, a screen will be displayed where the new deadline (Date and Time fields) of the tasks is to be reported. It will also be required an Explanation to change the deadline. Then, the activities that will receive this new deadline should be selected.

▪Change executor: When you click on this option, a screen will be displayed where the new responsible party for the execution of the activities is to be informed. First, select the executor type (Specific user, Functional role, Department or Department/Position) and, then, select the new responsible party. It will be mandatory to fill in the Explanation to change the executor. After you have set the new executor, select the activities that must be performed by the new responsible party.

▪Execute activity: When you click on this option, a screen will be displayed with the activities that can be executed by the user logged into the system. On this screen, the buttons that allow to Execute and View data of the activity selected in the listing are available. To execute an activity, select it from the listing and click on the "Execute" button. At this point, the data screen of the task will be displayed in execution mode.

 
Problem

This vision will list all problems that are in progress. It is worth remembering that if any problem process has been selected in the Summary vision, only instances of the selected process will be presented. Use the following buttons, located on the toolbar, to execute an action on a problem in this listing:

Change / Edit

Click on this button to edit the data of the problem selected from the list of records. See further details in the Editing the data of a problem section.

Delete

Click on this button to delete the problem selected from the list of records.

It is important to point out that to perform this operation it is necessary to have the Delete control enabled in the problem security list. Keep in mind that the problem record will be deleted from SE Problem, but its template will remain in SE Process.

Click on this button to access the process flowchart that automates the problem selected from the list of records. See further details on this operation in the Accessing the flowchart of a problem section.

Click on the arrow next to this button to export the list of records displayed on the main screen to an Excel file, configure a new report or associate an existing report, or search the parameters that may be used in the configuration of new reports.

Click on this button to edit the status of the problem selected from the list of records.

 
Activity

This vision will list all the activities that are in progress. It is worth remembering that if any problem process has been selected in the Summary vision, only activities of the selected process will be presented. Use the following buttons, located on the toolbar, to execute an action on an activity in this listing:

Change / Edit

Delete

Click on this button to delete the problem selected from the list of records.

It is important to point out that to perform this operation it is necessary to have the Delete control enabled in the problem security list. Keep in mind that the problem record will be deleted from SE Problem, but its template will remain in SE Process.

Use the Search filters to easily find the desired records based on specific information. Refer to the View Problem menu for a detailed description of the filters.
