Configurations

In this section, it is possible to perform general parameterizations and those regarding resources, communication, timesheet and task requirements. To do that, the following subsections are available:

 

Task

In this section, it is possible to perform the following configurations:

Task: In this section, the configurations regarding the execution approval, verification, timeline view, milestones, delivery, color and pattern performed when creating the task are displayed for viewing.

Finance: In this section, it is possible to define how the calculation of the financial figures related to the task will be calculated:

▪Cost configuration and Revenue configuration: In these fields, select one of the following options:

oRate-based: The values of the costs/revenues and the values of the resources will be considered in the calculation of the total values of the task.

oFixed: Only the costs/revenues values and the resource values will be considered in the calculation of the total values of the task, disregarding the values of the resources. The costs/revenues of the tasks related to this task will not be taken into consideration either.

▪Service report financial configuration: Check the desired options so that the paid and/or billable hours are considered in the service report.

▪Classify costs as Capital and Operational: Select one of the options to define the classification of the costs in the nonproject task: Unclassified, Capital or Operational. This option will only be displayed if the "Classify costs as Capital and Operational" option has been configured in the project data.

 
Checklist

In this section, it is possible to associate a checklist to assist the responsible party at the moment of the task execution. To do that, in the Checklist field in the upper part of this section, select the desired checklist. As needed, use also the following buttons on the side toolbar:

Click on this button to add a new question to the checklist. See more details about this operation in the Configuring a new checklist section. It is important to note that the question that is being added to the checklist displayed in this section will only be valid for the task execution and it will not be replicated to the checklist record created through the Configuration Checklist menu.

Click on this button to edit the question selected in the checklist structure.

Click on this button to delete a question selected in the checklist structure.

 
Resource

Use this section to perform the configurations regarding the resources to be allocated to the project tasks. The available subsections must only be completed after allocating resources to the tasks. They are:

Cost: Allows adding the planned costs related to the resources allocated to the task. To do this, click on the button on the side toolbar and fill out the following fields of the screen that will open:

▪Date: Select the date from which the planned cost will be valid.

▪Resource: Select the resource allocated to the task to which the cost that is being added refers. Use the other buttons next to the field to view the data of the selected resource and clear it.

▪Hourly cost: Enter the normal, overtime and weekend working hourly cost of the previously selected resource.

 

Use the other buttons from the side toolbar to edit or delete the planned cost from the resource selected in the list of records.

 

Billing: Allows adding the planned billings related to the resources allocated to the task. To do this, click on the button on the side toolbar and fill out the following fields of the screen that will open:

▪Date: Select the date from which the planned billing will be valid.

▪Resource: Select the resource allocated to the task to which the billing that is being added refers. Use the other buttons next to the field to view the data of the selected resource and clear it.

▪Hourly cost: Enter the normal, overtime and weekend working hourly cost of the previously selected resource billing.

 

Use the other buttons from the side toolbar to edit or delete the planned billing from the resource selected in the list of records.

 

User x Role: Allows associating the resources of the nonproject task with the functional roles that they will exercise. To do this, click on the button on the side toolbar and fill out the following fields of the screen that will open:

▪Resource: Select the resource allocated to the task for which you wish to define a functional role.

▪Functional role: This field will be filled by the system with the functional role to which the user is associated, but it is possible to edit it. In that case, select a functional role that the user is associated with and that he/she will exercise in the task.

 

▪Use the other buttons on the side toolbar to edit or delete the association of a user who plays a determined functional role in a task selected in the list of records.

▪This operation can also be performed through the Configuration Resource User x Role section of the project data screen.

 
Communication

In this section, it is possible to perform the configurations related to the notifications to those involved in the task. To do that, the following subsections are available:

Date change: The system displays the configurations for sending notifications when the task execution dates are rescheduled, established in its type, but it is possible to edit them. To set this configuration, check the "Notify rescheduled date change?" option and complete the following fields:

▪Monitored field: Select the option that corresponds to the field that, when compared with the planned, must be monitored and have its changes notified.

▪Monitored action: Select the option that corresponds to the action taken regarding the task that must be monitored and have its changes notified.

Use also the buttons on the side toolbar to define who will be notified of the task date changes:

Click on this button and, on the screen that will be displayed, locate and select who will be notified of the task date changes. Use the SHIFT or CTRL key on the keyboard or check next to each item to select more than one record at a time.

Click on this button to edit the notified user selected in the list of records.

Click on this button to delete the notified user from the list of records. Select the desired record before clicking on the button.

 

Notification: The system will display the configurations for the notification of those responsible for the deadline of the execution of the task, established in the project to which the task belongs, but it is possible to edit them. To perform this configuration, complete the following fields:

▪Notify on due date: Check this option for the responsible party to be notified before the day on which the deadline to execute the task expires. Use the Notify before field to enter how many days in advance the notification will be sent.

▪Notify on due date: Check this option for the responsible party to be notified on the day on which the deadline to execute the task expires.

▪Notify after due date: Check this option for the responsible party to be notified after the day on which the deadline to execute the task expired. Use the Notify after field to enter how many days the notification will be sent after the expiration deadline, and in the Frequency field, in days, the frequency in which the notification will be sent.

▪Subordinates' tasks: Check this option to define who will be notified about the task execution deadline related to the task, through the "Subordinate task" (SE Configuration) email notification. Fill in the following fields:

•Notify leader of responsible user: Check this option for the leader of the responsible user to receive the execution status notification of the task regarding the project.

•Specific user: Check this option and in the User field that will be enabled, select a specific user who will receive the notification related to the task execution regarding the project.

•Go up to __ level(s): Enter how many levels above the leader of the responsible user will be notified about the execution of the task related to the project

•Frequency: Enter the number of day(s) past due that the system will go up the hierarchy until it reaches the configured level.

 
Timesheet

This section will display the configurations referring to the task timesheet, performed in the task type; however, it is possible to edit them. Refer to the Timesheet section for a detailed description of the displayed fields.

 

The configurations set on this tab will only work correctly if the SE Time Control component is part of the solutions acquired by your organization. These configurations will impact the "Timesheet" screen. Refer to this component specific documentation for further details about the timesheet.

 
Requirement

In this section, it is possible to add requirements that will complement the task information. On the side toolbar, the following buttons are available:

Click on this button to add a new requirement to the task. On the screen that will be opened, enter a name for the requirement, select the corresponding option to define if attachments or documents must be associated with it (type) and save the record.

Click on this button to edit the data of the requirement selected in the list of records.

Click on this button to delete and add requirements to the task again, according to the configurations performed. For example: Two requirements have been added: A and B. Then, the requirement C has been added and the requirement A has been deleted. In order for this configuration to be successfully applied to the task, it is necessary to update it; otherwise, only the requirement C will be added, and the requirement A will not be deleted. Note that, when updating the requirements, the completed data is deleted.

Click on this button to delete the requirement selected in the list of records.

 

Managing the requirements can also be performed through the Requirement option of the toolbar of the SE GanttChart Task tab.

 
Audit - Status

This section will only be displayed if the project to which the task belongs has the automation with SE Audit configured. In it, the audit status defined for the task is displayed. In order to associate an audit status with the task, the desired status for the task must be selected in the Audit status column of SE GanttChart. The statuses are created through the File Status menu. Note that, according to the status selected for the task, some fields related to the audit may vary in the task data screen.
