Editing workflow status

See how to edit a workflow status:

 

Only those users who are process or instance managers and/or who have the proper permissions (reactivate, postpone, cancel and edit) configured in the workflow security list can perform this operation.

 

1.

Select the desired workflow in the list of records of main screen.

After that, click on the button on the toolbar. At this time, the screen to change the status will be displayed:

 

 

The image above refers to the reactivation of a cancelled workflow, but the displayed during the edition of the workflow status, is similar.

On the change status screen, the ID # and Status fields are filled by the system with the information of the selected workflow. The other fields on the screen are displayed and/or enabled according to the status in which the workflow is found:

Action: Select the desired action to edit the workflow status:

Reactivate: Reactivates the workflow whose execution has been postponed, cancelled or closed.

Postpone: Temporarily interrupts the execution of the workflow. When reactivating an instance that has been postponed, its execution returns to the activity that was enabled for execution.

Cancel: Cancels the execution of the workflow. When reactivating a cancelled workflow, it is necessary to enter the instance or item to be reactivated.

Block for editing: Blocks the execution of the workflow, allowing the user to edit the modeling of its flowchart. It is important to point out user cannot execute the activities of the workflow while it is blocked.

Return to: This field will only be displayed when reactivating the workflow that has been cancelled or closed. Fill out the following fields:

Instance: This option will only be displayed if the workflow to be reactivated has a sub-process. Select on which instance (upper level process or sub-process) to return the workflow execution.

Item: Select the item of the flow which you wish to return to the execution of the workflow. The system will only display the flow items that have been executed or were enabled for execution before the instance was cancelled. The activity execution information will be kept if the item that had been enabled for execution before the instance was cancelled is selected.

Explanation: Enter an explanation for the action selected previously. The entered explanation can be viewed in the History section of the data screen of the workflow or activity.

 

To notify the instance manager and starter and workflow activity executors about the previously selected action, it is necessary to perform the necessary configurations in the process data screen (Configuration Notification section).

 

4.

Save the record after that. From that point on, the workflow will be displayed on the list of records with the corresponding status of the action selected previously.
