Who receives it:
|
The appraisers defined in the evaluation plan, according to their type. The appraiser types may be:
▪Self-assessment: The employees will perform their own evaluation. ▪Leader: The employee leader or the user configured in the Appraisers section (if the evaluated employee does not have an associated leader) will perform the evaluation. ▪Subordinates: The subordinates of the employee will perform the evaluation. ▪Peers: Other employees of the same leader and/or with the same position of the employee in question (according to the configurations performed in the SE Administration general parameters) will perform the evaluation. ▪Review: User who has performed the leader evaluation. The review evaluation will only be generated in this task if the "Generate review automatically" option is not enabled in the Configurations Review section in the execution cycle data of the evaluation plan. |
When:

The execution of an evaluation plan cycle is started or the evaluation preparation is finished.
|
Purpose:
|
To evaluate the competences and career and succession items of an employee.
|
How to execute this task:

In the list of pending records, locate and select the evaluation plan grouper and the desired appraiser type.
|
2.
|
Select the employee you wish to evaluate.
|
3.
|
After that, click on the button on the toolbar.
|
4.
|
At this point, the evaluation data screen will be opened in the General data section. At the upper part of the section, the system will display the information of the employee and the appraiser. In the Period field, click on the date displayed to edit the start date and enter the end date of the evaluation that is displayed. Use the button, to enter important comments about the evaluation that is being performed.
Note that the options displayed on the screen may vary according to the configurations performed in the evaluation plan cycle and the type of appraiser that is accessing the screen. The type of evaluation being performed can be identified through the "Appraiser type" field of the evaluation grouper.

One of the ways to perform the evaluation is by clicking on the Proficiency level field that corresponds to the competence/evaluation item that you wish to evaluate, then selecting the employee's proficiency level. Notice that the field will not be available if a competency that has evaluation items is selected. In this case, the proficiency level selected in each item will make up the competence score according to its value and weight. As the proficiency levels are selected, the fields of the Score and Weight columns will be filled out. Repeat this procedure to evaluate all necessary competences. See a detailed description of each column in the General data section.
▪Use also the options in the toolbar to select all items displayed in the structure, apply a default level and copy a level. See a detailed description in the Competence evaluation (Only one employee) section. ▪If in the Configurations View settings section of the execution cycle of the evaluation plan, the "View mapped proficiency level in competence evaluation" option is enabled, when selecting a proficiency level below the mapped level, the selected level will be displayed in red. ▪Refer to the Result calculation section for a detailed description on how the score of a competence with evaluation items is calculated. |

Another way to perform the evaluation is to select the competence/evaluation item you wish to evaluate in the structure and use the following options of the Details panel:

The following options will be displayed according to the selected object:
▪Click on the score to evaluate the item: If the competence does not have evaluation items, the system will display a scale with the scores of the proficiency levels. Click on the score that corresponds to the proficiency level of the employee in the selected competence. The score of each competence will make up the competence evaluation result according to its value and weight. This option is not available for editing if the competence selected in the structure has evaluation items related to it, because the scores of the evaluation items will form the competence score. ▪Click on the score to evaluate the item: The system will display a scale with the scores of the proficiency levels. The proficiency levels that compose the scale applied to the object selected in the structure will be displayed in a list. Select the option corresponding to the proficiency level of the employee in relation to the object in question.
If you select a competence with evaluation items related to it in the structure, the options of the list will not be available for editing because the scores of the evaluation items will form the competency score.

If the "Display the [Verification method] field in the competence evaluation" option is enabled in the Configurations View settings section of the evaluation plan cycle data, this field will be displayed:

Select the verification method used to evaluate the item/competence. Use the other buttons next to the field to view the selected verification method data or clear the field. If the "Display the [Verification Method] field in the competence evaluation" option is enabled in the cycle data of the evaluation plan execution, it will be mandatory to fill out this field.

Click on this button to delete the evaluation (selected proficiency level) of the selected competence/evaluation item. In that case, it will be necessary to evaluate the competences/items again.

Justify

Click on this button to enter a justification for the score assigned to the competence/evaluation item. To do that, fill out the field of the Explanation tab described below.

Previous
|
Click on this button to go to a competence previous to the current one.

Next
|
Click on this button to go to a competence after the current one.

Finish
|
This button will be enabled when selecting the last competence/evaluation item in the structure. Click on this button to finish the evaluation of the employee in question.
If in the evaluation plan cycle that is being executed, the competence evaluation type is "Evaluate mapped competence" and the "Allow concluding competence evaluation without evaluating all items" option is enabled, the evaluation may be finished without all competences/items being evaluated. However, if the "Require the evaluation of competences mapped as required" option is enabled, it will be necessary to evaluate all the required competences to finish the evaluation successfully.
If the "Allow concluding competence evaluation without evaluating all items" option is not enabled, it is necessary to evaluate all the items/competences to finish the evaluation successfully. This operation can also be performed through the "Save and next step" button and through the "Send to next step" option of the main screen toolbar.

Explanation
|
Allows entering an explanation for the assignment of a proficiency level to the competence/evaluation item. If in the Configurations General settings section of the evaluation plan cycle data the "Require the justification of competences evaluated below the mapped level" option is enabled, it will be required for the appraiser to enter an explanation in the evaluations to which they have attributed a proficiency level below the mapped level.

Development suggestion
|
Allows adding suggestions for the employee being evaluated to develop the competence/evaluation item selected in the list. This operation can also be performed by using the "Development suggestion" option on the toolbar.
|
If the "View mapped proficiency level in competence evaluation" option is enabled in the Configurations View settings section of the execution cycle of the evaluation plan, when assigning a lower proficiency level to the mapped one, the scores scale will display an indicator, showing whether the employee will be considered fit or unfit.

Use the other options on the evaluation screen toolbar to answer the survey related to the evaluation, view the data of the associated indicator, enter development suggestions, attach files etc. See a detailed description of these options in the Competence evaluation (Only one employee) section.
If the appraiser type is "Leader" and at least one item of the Configuration Career and succession section has been enabled in the evaluation plan cycle, the Career and succession evaluation must be performed. If this evaluation is not performed, the leader evaluation cannot be closed.

After performing the evaluation, click on the Save and next step button on the toolbar. The system will ask whether you wish to send the evaluation to the next step. Click on the desired option:
Save only: Allows you to save the evaluation data and not close it. The operation closure may also be performed through the button on the main screen, the "Finish" button on the details panel of the competence/evaluation item, or the Execution Evaluation execution menu.
Confirm: Allows finishing the evaluation. If in the evaluation plan cycle that is being executed, the competence evaluation type is "Evaluate mapped competence" and the "Allow concluding competence evaluation without evaluating all items" option is enabled, the evaluation may be finished without all competences/items being evaluated. However, if the "Require the evaluation of competences mapped as required" option is enabled, it will be necessary to evaluate all the required competences to finish the evaluation successfully. If the "Allow concluding competence evaluation without evaluating all items" option is not enabled, it is necessary to evaluate all the items/competences to finish the evaluation successfully.

After all the appraisers of the plan execute the evaluations under their responsibility for a specific employee, the review evaluation will be generated. It may be automatic or manual. See how to execute the manual review in the Perform review evaluation (manual) topic described below.

In the list of pending records, locate and select the evaluation plan grouper and the desired appraiser type.

Select all employees from an evaluation plan/appraiser type or specific employees of the same evaluation plan/appraiser type you wish to evaluate.
|

After that, click on the button on the toolbar.
|

At this point, the system will open the evaluation data screen. The competences (and evaluation items) structure will be displayed in a column and, next to it, the employees who will be evaluated will be displayed. View a detailed description of the multiple employee evaluation screen in the Competence evaluation (Multiple employees) section.

One of the ways to perform the evaluation is to click on the Proficiency level field that corresponds to the competence/evaluation item that you wish to evaluate and to select the proficiency level of the employee that is being evaluated in it. Notice that the field will not be available if a competency that has evaluation items is selected. In this case, the proficiency level selected in each item will make up the competence score according to its value and weight. Repeat this procedure to evaluate all competences from all employees being evaluated.
▪The proficiency evaluation field may not be displayed if the listed competence is not somehow mapped or assigned to the employee. ▪Use also the options in the toolbar to select all items displayed in the structure, apply a default level and copy a level. See a detailed description in the Competence evaluation (Multiple employees) section. ▪If in the Configurations View settings section of the execution cycle of the evaluation plan, the "View mapped proficiency level in competence evaluation" option is enabled, when selecting a proficiency level below the mapped level, the selected level will be displayed in red. ▪Refer to the Result calculation section for a detailed description on how the score of a competence with evaluation items is calculated. |

Use the other options displayed on the column that corresponds to each employee to answer the survey related to the evaluation, view the data of the associated indicator, enter development suggestions, attach files etc. See a detailed description of these options in the Competence evaluation (Multiple employees) section.
If the appraiser type is "Leader" and at least one item of the Configuration Career and succession section has been enabled in the evaluation plan cycle, the Career and succession evaluation must be performed. If this evaluation is not performed, the leader evaluation cannot be closed.

After all the appraisers of the plan execute the evaluations under their responsibility for a specific employee, the review evaluation will be generated. It may be automatic or manual. See how to execute the manual review in the Perform review evaluation (manual) topic described below.

In the list of pending records, locate and select the evaluation plan grouper and the desired appraiser type.

After that, select all employees from an evaluation plan/appraiser type, specific employees of the same evaluation plan/appraiser type, or a single employee whose evaluation you wish to perform.
|

Once done, click on the button on the toolbar.
|

At this point, the screen to perform the review evaluation will be opened, depending on whether only one or multiple employees have been selected. During this evaluation, the evaluated user (employee) and the appraiser must discuss and reach an agreement on the proficiency levels in each competence and select the agreed level in the corresponding column. See a detailed description on how to perform this operation in the "Evaluate only one employee" and "Evaluate more than one employee simultaneously" topics described previously.
The review evaluation screen toolbar will display the "Apply common levels", which allows applying to the selected competency/evaluation item the proficiency levels that were applied in common in the other evaluations of the employee. To do that, click on the arrow located under this option, check the evaluations whose common levels you wish to use, and after that, click on the Apply option.

After performing the review, click on the Save and next step button. The system will ask whether you wish to send the evaluation to the next step:
▪If the "Allow development plan drafting" option is enabled in the plan execution cycle data and a development plan has not been defined to the employee, the system will issue a warning about it and request a confirmation. Click on "Save only" to save the record and return to the evaluation data screen to create the development plan. Click on "Yes" to generate the Development plan drafting task for those who are responsible for it and send the review evaluation to the next step. ▪If the "Allow feedback from employee" option is enabled in the plan execution cycle data and the feedback has not been performed, the system will issue a warning about it and request a confirmation. Click on "Save only" to save the record and return to the evaluation data screen to enter the feedback. Click on "Yes" to generate the Employee feedback task for those who are responsible for it and send the review evaluation to the next step. ▪If the plan has no to-do tasks, it will request the evaluation closure confirmation. Click on "Save only" to save the record and keep the evaluation open. Click on "Confirm" to close the review evaluation. Thus, the employee profile will be updated, and if the "Generate evaluation result acknowledgment task" option is enabled, it will generate the Evaluation result acknowledgment task for the evaluated employees and the leader. If the "Release result only after feedback" option is enabled, the system will close the evaluation, but the task will only be generated and the employee profile will only be updated after the closure of the employee's feedback procedure. If a date was defined for releasing the evaluation result, the system will close the evaluation, but the task will only be generated and the employee profile will only be updated when said date is reached. ▪If there are any other impediments or the user fails to perform a step, the system will issue a message informing of the error or asking for the user's confirmation to send the evaluation to the next step.
The operation closure may also be performed through the button on the main screen, the "Finish" button on the details panel of the competence/evaluation item, or the Execution Evaluation execution menu.
