Configuring an asset template

To edit the data of an asset template, locate and select the desired record on the main screen and click on the button. At this point, the template data screen will be displayed for editing.

 

The following sections may have their information and configurations changed:

 

General data

General data

All fields in the "General data" subsection may be edited, except for "Specification".

 

Attributes

This section will only be displayed if at least one attribute is associated in the Attribute tab of the type that classifies the template. In that case, enter the value of the displayed attributes. Those attributes that are required must necessarily, have their values filled in. The way to enter an attribute varies according to the configurations established when creating it.

 

Details

Restrict access to view screens:

Enabled: In the list of records of the View Asset menu, the assets based on this template will only be displayed to the members of a certain team. Select the desired team.

Disabled: The assets based on this template will be available for all users with access to the view menu.

Internal/Third-party: Select the Internal option if the asset is available only to the organization or the Third-party option if it is available to other organizations.

Manufacturer / Supplier: Select the manufacturer/supplier (SE Supplier) of the assets created from this template.

Serial number: Enter the serial number of the assets created from this template.

Model: Enter the model of the asset.

Use the asset as a resource1:

Checked: Indicates that the assets of this type will also be considered resources in the SE Time Control component.

Unchecked: The assets of this type will not be considered resources. In this case, it will be necessary to add a resource of the "Asset" type and associate the desired asset with it.

Warranty: Fil out the information related to the asset warranty, such as date of purchase, warranty time validity etc.

Descriptions / Characteristics / Comments: Use these fields to enter descriptions, characteristics and comments related to the asset template.

 

Documentation

When clicking on the arrow below this option, the following subsections are available:

Attachment

Through this section, it is possible to add, delete, download and view the attachments related to the asset template. For further details on how to add attachments to the record, see the Adding attachments section.

 

Document

This section is only available if the SE Document component is part of the solutions acquired by your organization. In it, it is possible to add or associate the documents related to the asset template. Refer to the Adding documents section for further details on how to add and/or associate documents from SE Document.

 

Safety data sheet

This section is only available if the SE Document component is part of the solutions acquired by your organization. In it, it is possible to add or associate the security documents related to the asset template.

Safety data sheets form the main gage to make sure manufacturers and importers communicate enough information during the whole supply chain to allow a safe usage of their substances and mixtures. They contain information on the properties of the substance and its hazards, handling, disposal and transport instructions and measures for first aid, fire-fighting and exposure control.

Refer to the Adding documents section for further details on how to add and/or associate documents from SE Document.

 

Contract

This section is only available if the SE Document component is part of the solutions acquired by your organization. In it, it is possible to add or associate the contracts related to the asset template. Note that it will only be possible to add documents of the contract type, and only documents of this type will be available for selection during association. Refer to the Adding documents section for further details on how to add and/or associate documents from SE Document.

 

Cost

When clicking on the arrow below this option, the following subsections are available:

Asset value

Equipment cost: Fill out this field to enter the value spent on the purchase of assets based on this template.

Hourly cost: Fill out this field to enter the value generated per hour by the purchase of assets based on this template.

Depreciate asset2:

Enabled: Indicates that the assets based on this template have been depreciated. In this case, it will display the desired depreciation method and other information.

These configurations have been performed in the Depreciation tab of the asset type that classifies the template.

Disabled: The assets based on this template have not been depreciated. In this case, this field can be disregarded.

2 - It will be displayed checked/unchecked by the system according to the configuration performed in the asset type that classifies the template, and it will be possible to edit it.

 

Costs

In this section, it is possible to associate the costs that may be generated by the assets based on this template. If at least one cost has been associated in the Cost tab of the asset type that classifies the template, it will be displayed in this section.

To associate a cost with the asset template, click on the button on the side toolbar. On the screen that will open, locate and select the desired cost type. Use the CTRL and SHIFT keys on the keyboard or check next to each record to select more than one type at a time. Once done, save your selection. In the field of the Value column of the list of records, enter the estimated value of the cost. This field can be filled out by the default value of the selected type (if any), and it is possible to edit it.

 

To disassociate a cost from the asset template, select it in the list of records and click on the button on the side toolbar.

 

Control

In this section, define the controls of the assets based on the template in question:

Characteristics: It is possible to define the meter and variable readings of the asset in question. Refer to the Control - Characteristics (Asset definition) section for details on how to configure the reading of meters and variables.

Events: It is possible to configure events, maintenance and verification plans, and the controls for the calibration of the asset in question. See the Control - Events (Asset definition) section for details about each of these configurations.

 

Associations

Customer

This integration allows the user to view which customers are associated with the asset or to associate them directly through this tab.

To associate a customer, click on the Associate button on the right side of the record screen, enter the name of the customer in the "Object" field, select the desired option, and click on the button. The data of each selected customer will be displayed in the list of records.

 

Supply

This section is only displayed if the SE Supply component is part of the solutions acquired by your organization. In it, it is possible to associate the supplies related to the assets based on this template, to edit the data of the associated supplies, and to disassociate those that are no longer necessary.

 

Kanban

In this section, it is possible to associate tasks previously created in Kanban with the asset template or to create new Kanban tasks directly through this modal.

Associate: To associate, simply click on the respective option and select the tasks related to the asset template in the "Object" field.

Create: To create a new task, simply click on the corresponding option and configure the Kanban task data, such as workspace, title, task type, and reporter.

The data of the associated tasks will be displayed as cards, and it will be possible to disassociate it.
