Watermarks in electronic files

See below the detailed steps on how to configure the watermark feature, so that they are properly displayed in your electronic file:

 

Parameterize the viewers compatible with the watermark feature

To perform this configuration, the user must have a "Manager" type license and access to the menu described below:

1.Access the SE Document component, in the Configuration General parameters (DC035) menu.

 

2.On the side panel, click on the Application option.

 

3.On the options that will be displayed, check the following viewers in the Office section:

DocView: for files with .doc extension;

ExcelView: for files with .xls extension;

SE PDFView / Browser native viewer / HTML5 PDF Viewer: for files with .pdf extension.

 

Check the watermark configuration

First, it is necessary to check if the desired watermark is duly configured in the system. To perform this operation, the user must have a "Manager" type license and access to the menu described below.

 

To do that, in the SE Document component, access the Configuration Document Watermark (DC045) menu. The list of records displays the "Default watermark" watermark configuration (previously configured by the system), as well as the other existing watermark configurations.

 

In a watermark configuration, it is possible to define different watermarks for different statuses that a document can be in. It is not necessary to configure watermarks for all statuses, but make sure the configurations are duly performed in the specific status to which you wish to apply the watermark.

 

To perform the verification, perform the following steps:

1.Locate and select the desired configuration in the list of records.

 

2.Click on the toolbar button.

 

3.On the left panel of the General tab, the system will display all statuses of a document to which the watermark feature is applied. Select the status to which the desired watermark will be applied.

 

4.In the Margin section on the right side of the screen, the values that configure the watermark printing area margins will be displayed. If the watermark is not configured or if it is necessary to perform adjustments, enter the upper, lower, left and right values that correspond to the watermark application margins. The values must be entered in millimeters.

 

5.The listing at the bottom of the screen displays the items that will be applied as a watermark in the files of the documents that have this configuration applied. In the Alignment column, it is possible to identify where this item will be displayed in the file page, while the Text column displays the information that will be displayed in the text or that will compose the QRCode. To add, delete, import, or adjust the watermark text or QRCode, use the side toolbar buttons.

 

Regarding the configuration of margins in the watermark: Consider that the organization uses an inkjet printer to print its files and a watermark is applied to them. In this case, it is necessary to enter at least 10 millimeters in the upper margin, or the watermark will be cropped when printing.

If the desired item is not contained in the watermark configuration that will be used, perform the following steps:

1.Click on the side toolbar button in the section that corresponds to the status of the document in which you want the item to be displayed, in the General tab.

 

2.On the screen that will be opened, select the alignment of the item regarding the margin printing area: top, middle, bottom + left, center, right.

 

3.Then, select the corresponding option to define if the item will be a: Text (in this case, use the displayed fields to define the text formatting) or QRCode (in this case, use the available field to define the height of the QRCode).

 

4.Save the record, but do not close the data screen.

 

5.In the Text item tab, click on the button on the side toolbar. Note that, if it is defined that the item is a QRCode, the system will generate one with the information set in this tab. If it is a text, the system will display the information in the sequence set in the list of records.

 

6.On the screen that will be opened, select the item type and its display sequence in the watermark. According to the selected type, another field will be displayed to define the information that will be displayed or its format. See a detailed description of each available field and option in the Adding a watermark configuration section.

 

7.Save the text item data.

 

8.After performing the configurations above, save the watermark item data.

Associate the watermark configuration with the category

For the watermarks to be duly filled out when the document is in the status with this parameterization and is printed, it is necessary for the watermark configuration to be associated with the category that will classify these documents.

To perform this configuration, the user must have a "Manager" type license, access to the menu described below and the "Edit" control enabled in the category. If it is a sub-category, it will be necessary to have the "List" control enabled in the upper level category.

To do that, perform the following steps:

1.In the SE Document component, access the Configuration Category (DC043) menu.

 

2.In the category hierarchy, locate and select the desired category.

 

3.Click on the side toolbar button.

 

4.In the Details tab of the data screen that will be opened, access the Electronic file General section.

 

5.Make sure the Watermark option is checked and the configuration that has the watermark configurations in the desired document statuses is selected in the Configuration field. If it is not, use the other buttons next to the field to select the desired configuration or add a new configuration and associate it with the category.

 

If it is necessary to add and configure a new category, click on the "Add" button on the main screen side toolbar. On the screen that will be opened, enter an ID # and a name for the category and fill out the other required information. Once done, associate the watermark configuration as described previously. If a sub-category is being added, it will be necessary to have the "Add" control enabled in the upper level category.

If you wish to apply the watermark to electronic files being revised via workflow, it will be necessary to perform additional configuration in SE Process. In this case, refer to the Watermark in electronic files under revision via Workflow section.

 

Print the electronic file with the configured watermark

After creating the document and associating the electronic file, when it is in the status to which the watermark was configured:

By opening the electronic file through the DocView, ExcelView, SE PDFView or HTML5 PDF Viewer viewers, the watermark will not be displayed during viewing. It will only be displayed in the printed version of the file.

By opening a .pdf file with the "Browser native viewer", the watermarks will be displayed both when viewing the file and in its printed version.

 

If the file was converted to .pdf, the watermark configuration performed in the "Conversion to PDF" section will only be applied to the last page of the file.
